Fireflies.ai → push the meeting into your CRM and search every call you’ve ever had

Fireflies doesn’t just record your meeting. It tries to run your pipeline.

If Otter is the tool you read during the call, Fireflies is the tool you query after the quarter starts hurting.

I tested Fireflies.ai for 30 days across sales demos, client standups, recruiter screens, and a few messy multilingual team calls. The headline isn’t “great transcripts.” Lots of tools do that now. The headline is:

Fireflies turns conversations into a searchable, routable, semi-autonomous layer on top of your team’s communication.

That’s amazing for revenue teams. It’s overkill for a founder who just wants to stop typing “Action items?” into Notion.

30-second verdict

Pick Fireflies if:

  • You run sales, RevOps, CS, or recruiting calls
  • You want meetings → CRM → Slack → tasks with less manual copy-paste
  • Your team speaks more than one language
  • Managers want talk-time, sentiment, and topic tracking
  • You already live in HubSpot / Salesforce / Asana / Notion

Skip Fireflies if:

  • You’re a solo founder who just wants live captions
  • You record podcasts / interviews / lectures and upload files
  • You hate bots joining client calls
  • You want the cheapest possible notetaker and nothing else

Fireflies is a meeting intelligence platform. Otter is a transcription product with AI on top. Same category name, different job.

What Fireflies actually is

Fireflies joins Zoom, Google Meet, and Microsoft Teams—either as “Fireflies Notetaker” or via Chrome extension without a bot—then:

  • transcribes in 100+ languages
  • writes Super Summaries
  • extracts action items
  • logs notes into CRMs
  • lets you ask AskFred questions across your entire meeting history
  • runs AI Skills (“extract pricing objections”, “draft follow-up email”)
  • ships Voice Agents that go beyond note-taking
  • feeds Slack / Notion / Asana / Jira / HubSpot / Salesforce / Pipedrive

The mental model:

Otter = “what was said?”

Fireflies = “what should happen next, and who owns it?”

Where Fireflies clearly wins

1. Sales / RevOps workflows

Fireflies pushes structured outputs into CRM activity feeds:

  • meeting summary → deal note
  • action items → tasks
  • objections → topic tracker
  • owner + next step → Slack message

If your reps currently write “had good call, will follow up” into HubSpot, Fireflies is a massive upgrade.

2. Multilingual teams

Fireflies transcribes 100+ languages with auto-detection. Otter is English-first with a handful of additional languages.

For global teams, this isn’t a nice-to-have. It’s the whole reason Fireflies exists.

3. Cross-meeting search (AskFred)

You don’t ask “what happened in call #47?”

You ask:

“What pricing objections did Acme raise across all calls this quarter?”

That’s the killer. Otter AI Chat is good, but Fireflies’ whole architecture is built around org-scale memory.

4. Conversation intelligence

On Business+:

  • talk-time ratios
  • sentiment shifts
  • topic trackers
  • question detection
  • keyword/competitor alerts

Managers coaching reps will feel this immediately. Solo users won’t care—and shouldn’t pay for it.

5. Integration depth

Fireflies connects to 100+ tools: HubSpot, Salesforce, Pipedrive, Asana, Jira, Notion, Slack, Zendesk, Dynamics, ATS tools, plus API/Zapier/n8n.

Otter is ~30–34 integrations. Fine for individuals, thin for ops teams.

Where Fireflies annoys you

1. The bot problem

“Fireflies Notetaker has joined the meeting.”

Some clients love it. Some enterprise buyers hate it. Some candidates get weirded out.

You can use the Chrome extension to capture without a bot, but the “default Fireflies experience” is bot-driven.

2. AI credits are the real meter

This is the part most comparison posts get wrong.

Fireflies says:

  • Unlimited transcription ✅
  • Unlimited AI summaries ✅
  • But AskFred, AI Skills, Voice Agents, richer custom summaries = AI credits

Allowance:

  • Free: 20 credits
  • Pro: 20 credits
  • Business: 30 credits
  • Enterprise: 50 credits

A deep “search every call from Q1 and draft follow-ups” query can take a real bite out of a 20-credit month. Heavy teams hit the AI ceiling before they hit the storage ceiling.

Add-on packs exist (reportedly from ~$5 / 50 credits), but the “unlimited” marketing needs an asterisk.

3. Storage caps sneak up

  • Free: 400 minutes per team (not per seat)
  • Pro: 8,000 min/seat
  • Business+: unlimited

A 5-person team on Free looks fine for a week, then hits the wall.

4. Busier UI

Otter is calm. Fireflies is a dashboard.

If your user is “journalist with headphones,” Fireflies feels like SAP. If your user is “RevOps lead with 14 tools,” Fireflies feels like home.

5. Seat math adds up fast

Fireflies is per seat. A 6-person team on Business:

  • 19×6=∗∗114/mo**

Not crazy. But compared to a solo Otter Pro at $8.33/mo, it’s a different universe of intent.

Read it like this:

  • Transcription = unlimited
  • Storage = capped until Business
  • AI intelligence = credited, not unlimited
  • Seats = the number that shows up on the invoice

If you read my Otter review, the conclusion doesn’t change—it inverts.

Otter is the best personal meeting tool. Fireflies is the best organizational meeting tool.

Who should NOT use Fireflies

  • Solopreneurs who just want “notes from my 2 calls a week”
  • Interviewers / journalists / podcasters
  • People who hate a bot in the room
  • Teams with no CRM and no task system (Fireflies’ superpower has nowhere to go)
  • Buyers who see “unlimited AI” and assume AskFred is infinite (it isn’t)

Final recommendation

  • Solo pro / interviewer / English-first / want live captions → Otter Pro ($8.33/mo annual)
  • 2–10 person revenue team / multilingual / CRM-driven → Fireflies Business ($19/seat/mo annual)
  • Enterprise compliance (HIPAA, SSO, audit logs, private storage) → Fireflies Enterprise ($39/seat/mo annual only)
  • Just testing the category → Fireflies Free, but watch the 400-min team storage ceiling

Fireflies isn’t “better” than Otter. It’s heavier, smarter, more bureaucratic, and more valuable to teams that already have a pipeline to feed.

If nobody owns the pipeline, Fireflies mostly produces beautiful summaries nobody reads.

Fireflies.ai Review Summary (2026)

Overall rating: Strong among sales/RevOps teams; mixed for privacy-sensitive and solo users.

Aggregate scores:

  • G2: ~4.7/5 (700+ reviews)
  • Capterra: ~4.6–4.9/5 (500+ reviews)
  • Trustpilot: ~4.3/5 (dragged down by billing/cancellation complaints)

What users love:

  • AskFred cross-meeting search: query every call your team has ever had
  • CRM auto-logging into HubSpot, Salesforce, Pipedrive
  • 100+ languages (stronger than English-first tools like Otter)
  • Clean-audio accuracy 90–95%; summaries drop straight into Slack/Notion
  • Free tier lets teams test before paying

What users complain about:

  • The notetaker bot is visible and intrusive; some clients and enterprises block it
  • Accuracy drops on noisy calls, heavy accents, overlapping speakers, and jargon
  • AI credits (AskFred, AI Skills, advanced summaries) run out fast on lower tiers; “unlimited AI” marketing feels misleading
  • Billing friction: auto-charges after trial, cancellation is hard to find, support feels like a bot
  • Speaker diarization breaks down on 4–5+ person calls
  • Legal/privacy exposure: all-party consent laws, BIPA-related litigation risk in some US states

One-line positioning:

Fireflies is not the most accurate transcription tool. It is the most “meeting operating system” of the four — meetings become CRM data and org memory. The tradeoff: heavier UI, higher cost, bot friction, AI credit management.

Best for:

  • Sales, customer success, recruiting, consulting teams
  • Teams already on HubSpot / Salesforce / Slack / Notion
  • Multilingual remote orgs
  • Managers who want talk-time, sentiment, topic tracking

Not for:

  • Solo users, students, podcasters (Fathom or Otter is a better fit)
  • Clients who object to recording bots in calls
  • Tight-budget small teams
  • Healthcare, legal, finance without prior compliance review

Fair verdict for publishers:

Fireflies.ai is genuinely one of the best AI notetakers for revenue and ops teams — its CRM sync and cross-meeting search are best-in-class. But it’s not the best pick for solos, privacy-first teams, or anyone who hates a bot sitting in the call. The product is strong; the billing model and bot behavior are what divide reviewers.
